All services are strictly NON-REFUNDABLE.

By placing an order with VIRTUAL CYPHER SDN. BHD., you acknowledge and agree to this policy.

1. Nature of our services

VIRTUAL CYPHER SDN. BHD. (“we”, “us”, or “the Company”) provides web development and software services. These are custom, labour-based digital services. Once work has commenced, the time, effort, and resources committed to a project cannot be recovered.

2. No refunds once work has commenced

All payments are non-refundable once we have begun work on your project. This includes, but is not limited to, requirement gathering, design, development, configuration, deployment, and any third-party costs incurred on your behalf (such as domains, hosting, licences, or paid integrations).

  • Deposits and milestone payments are non-refundable.
  • Change of mind, change in business direction, or no longer needing the service does not qualify for a refund.
  • Delays caused by the client (for example, late feedback, late content, or unresponsiveness) do not qualify for a refund.

3. Limited exceptions

We may, at our sole discretion, review the following situations:

  • Duplicate or erroneous charges — if you were charged more than once for the same order due to a technical or processing error, the duplicate amount will be refunded.
  • Orders cancelled before work begins — if you cancel and we have not yet started any work on your project, we may refund your payment after deducting any non-recoverable transaction or processing fees.

Approved refunds (where applicable) are processed to the original payment method within 7–14 working days, depending on your bank or payment provider.

4. Revisions instead of refunds

Each package includes a defined number of revision rounds. If you are not satisfied with a deliverable, we will work with you within the agreed scope and revision allowance to address reasonable concerns. Revisions are not a substitute for, and do not entitle you to, a refund.
